Privacy Policy
Draft for legal review. This policy describes how the Ballmark app works today. It will be reviewed by a lawyer before Ballmark launches.
Ballmark is a tennis app for ratings, leagues and match days. This policy explains what information Ballmark collects, why, who it's shared with, how long it's kept and the choices you have. Ballmark follows Canada's privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA).

The short version
- We collect what's needed to run your account, your matches and your leagues.
- Ballmark doesn't read your phone's location. Your home area is a place you choose from a list.
- No ads, no analytics, no tracking, and we never sell your information.
- Your birthday, email and gender are never shown to other players.
- You can delete your account in the app at any time. Your match results stay, shown as "Deleted player", so your opponents' records stay correct.
What we collect
When you create an account
- Email address and password. Your password is stored only in scrambled (hashed) form; we can't read it.
- Name (first and last).
- Date of birth, to check your age and set up junior accounts. It's never shown to anyone.
- Gender, if you choose to give it ("prefer not to say" is the default). It's never shown to anyone.
- Home area: a town or community you pick from a list (for example "St. Catharines, ON"). We store its name and the map point at the centre of that place, never your address.
- Your game: your answers to the level questions (or a known NTRP rating), how often you play, singles or doubles, your goals, and the times you're usually free.
- For players aged 13 to 17, a parent or guardian's email address.
When you use Ballmark
- Matches and results: who you played, when and where, scores, whether a match was ranked, and confirmations.
- Your level: your rating and its history, which Ballmark calculates from your results.
- Leagues: the leagues you join or run, your In / Out answers for match days, sub requests, standings and titles.
- Disputes: if a score is disputed, the notes you write and any photos you add (for example a scoresheet).
- Favourite courts you save.
- Notifications: the notices Ballmark sends you, your notification settings, and, if you allow notifications, a push token that identifies your phone to the notification services.
- Guests: league organizers can add a player who isn't on Ballmark (a "guest") with a name, an estimated level and, only with that person's permission, an email or phone number. That contact is visible only to the organizer who added it.
What we don't collect
- Your phone's location. The app doesn't ask for location permission.
- Your contacts, microphone or camera. The app only opens your photo library when you choose a photo for a dispute.
- Advertising IDs, or any analytics or tracking data.
Like any online service, our providers keep short-term technical logs (such as IP addresses and times of requests) to keep the service secure and working.
How we use it
- To run your account and sign you in.
- To calculate levels and rankings from match results.
- To run leagues: schedules, standings, In / Out answers, subs and reminders.
- To show courts near your home area and find you fair matches.
- To send you notices and, if you allow them, push notifications.
- To keep juniors safe and to handle disputes and reports.
We don't use your information for advertising, and we never sell it.

Junior players (13 to 17)
You must be at least 13 to use Ballmark. Players aged 13 to 17 have a limited junior account:
- They're shown by first name only.
- They aren't listed in player search or shown to other players outside their leagues.
- They have no direct messages, and no location is ever shown.
- A parent or guardian's email is collected so we can contact them about the account if needed.
Service providers and where your information is stored
We use a small number of providers to run Ballmark. They handle information only to provide their service to us.

When providers outside Canada handle information, it may be subject to the laws of those countries. A push notification contains the text of the notice (for example, that a score was confirmed or a match day is coming up) and an identifier for the notice.
Tennis court information comes from OpenStreetMap and place names from Statistics Canada and Natural Resources Canada open data. Both lists are built into the app, so using them sends nothing about you to anyone.
How long we keep it
- Your account information is kept for as long as you have an account.
- Records of push notifications we've sent are deleted after 30 days.
- When you delete your account, your personal information is deleted straight away, as described below.
- Deleted information may remain in our providers' backups or logs for a short time before it's removed.
Deleting your account
You can delete your account in the app: Profile › Settings › Delete account, then type DELETE. See Delete your account for the steps, and for how to ask by email if you no longer have the app.
What's deleted
- Your sign-in (email and password) and every session.
- Your name, home area and profile settings.
- Your date of birth, gender, level answers and goals.
- A parent or guardian's email, your availability, favourite courts, notices, notification settings and push tokens.
- The contact details of any guests you added.
What's kept, without your name
- Your match results, ratings, league entries, standings and titles stay, shown as "Deleted player". Your opponents' records and levels depend on them.
- Notes and photos you added to a dispute stay only while that dispute is open, because the other player and the people deciding it may need them. When the dispute is resolved (or straight away, if it already is), they're deleted.
If you run a league that still has players in it, you'll be asked to hand it over to another player or end it before deleting your account.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent (which may mean closing your account). Email hello@ballmark.ca; we'll reply within 30 days. If you're not satisfied, you can contact the Office of the Privacy Commissioner of Canada.
Security
Information is sent over encrypted connections, and the database only lets each player read what they're allowed to see. No system is perfectly secure, but we work to protect your information and will tell you and the authorities about any breach as the law requires.
Changes to this policy
If we change this policy, we'll update the date at the top and, for important changes, tell you in the app.
